Cheaper premises may require more renovation work, complicate deliveries, or limit catalogue displays. A more visible location may support sales but also require a level of activity that is difficult to achieve. Choosing premises for an esoteric shop therefore involves more than the rent or first impressions during a viewing.
The decision requires comparing total occupancy costs with plausible sales and the contribution those sales leave. It also calls for a separate budget: the cash needed to move in, fit out the premises, and fund the initial trading period.
Define how the business will actually use the space
Before comparing floor areas, describe the planned activities. Selling books and accessories requires a different layout from operating a catalogue with numerous packs of herbs, resins, or liquids. Running an online shop alongside the store adds packing and storage requirements. A workshop space requires further checks.
The aim is not to anticipate every imaginable future development but to identify activities the project can finance. Reserving a large area for a hypothetical activity may increase expenses before any related revenue appears. Conversely, neglecting goods receiving and storage can create recurring handling costs.
In its criteria for selecting retail premises, Bpifrance Création recommends comparing visibility, accessibility, layout, and on-site observations. Adapt these criteria to the shop's actual customers and operations.
Compare costs calculated on the same basis
Occupancy costs in your analysis may include rent, service charges, energy, premises insurance, and other recurring costs directly linked to the site. Define this scope before calculating a ratio. Two percentages cannot be compared if one includes service charges while the other includes only rent.
The allocation of expenses must be checked against contractual documents and applicable law. Bpifrance Création's overview of commercial leases provides a starting point. Ask for supporting documentation and past adjustments rather than assuming an advertised service-charge provision is a guaranteed final cost.
For economic comparisons, exclude recoverable VAT where the business's circumstances allow it, and retain non-recoverable taxes in costs. Payment timing is a separate issue. Expressing costs monthly does not mean every invoice is paid monthly.
Convert higher occupancy costs into additional sales required
The following table compares two hypothetical premises. It includes rent, a set of identified recurring charges, and energy. Other costs are assumed identical to isolate the difference. The figures do not represent any particular city or an average property market.
| Monthly cost included | Premises A | Premises B |
|---|---|---|
| Rent | 1 100 € | 1 800 € |
| Other recurring charges included | 250 € | 300 € |
| Estimated energy | 150 € | 200 € |
| Total for the compared costs | 1 500 € | 2 300 € |
| Additional monthly cost compared with A | — | 800 € |
If each additional transaction contributes 16 € after merchandise and variable expenses, premises B must generate fifty extra transactions per month simply to cover its 800 € higher costs. Over twenty-four opening days, that is approximately 2.1 additional transactions per day. This assumes stable contribution per transaction and no additional staffing expense.
It does not establish that B will generate those sales. It turns the property cost difference into a business question to investigate. If additional footfall is uncertain, so is the economic outcome.
Higher rent requires evidence of additional contribution. Visibility, floor area, and window displays may help achieve that. They do not replace observed demand or checking the sales volumes needed.
The occupancy cost ratio also depends on the revenue assumption
In our example, 1 500 € in costs against 12 000 € excluding VAT in monthly sales represents 12.5%. For B, 2 300 € against hypothetical sales of 18 000 € excluding VAT represents approximately 12.8%. The ratios appear similar, but the second depends on a higher revenue forecast that must be justified.
An optimistic forecast can therefore make almost any premises appear affordable on paper. Calculate the ratio under several scenarios, including conservative activity levels. The article on the limitations of market figures helps distinguish observations, assumptions, and targets.
No occupancy cost threshold is presented here as a standard for esoteric retail. A ratio used in another industry is not enough to make a decision for your shop. Margins, staffing needs, and other expenses may differ greatly.
Observe passing traffic without automatically counting customers
Someone walking past a shop window is not necessarily a visitor, and a visitor is not necessarily a buyer. Observations should distinguish these stages. Heavy pedestrian traffic on a nearby street is not equivalent to the traffic that actually passes the premises.
Observe several days and time slots consistent with planned opening hours. Record the conditions: weather, a one-off event, roadworks, or nearby shop closures. Such counts remain a sample, not a guarantee of annual footfall. Bpifrance also emphasizes examining traffic directly outside the premises in its site selection method.
To understand demand, ask about shopping habits and service requirements rather than assuming an interest in esoteric products from how passersby look. Compare behaviors and expressed needs, not imagined customer profiles.
Evaluate usable space, not just square meters
Two properties with the same total floor area can offer very different capacity. Some space may be hard to access, poorly visible, or used for circulation. Distinguish display, storage, goods receiving, and ancillary functions before comparing prices per square meter.
Walk through a realistic process: receiving a carton, checking its contents, putting items away, restocking, and preparing an order. A layout that lengthens every task can create repeated labor costs. Weigh this expense against any potential savings on property.
A larger sales floor may also encourage buying more stock simply to fill the shelves. Rent alone does not fund that inventory. Opening stock and the purchasing budget must remain aligned with demonstrated demand.
Separate move-in costs from ongoing operations
Renovations, furniture, professional fees, deposits, guarantees, and any payments connected to taking over the lease must be identified. Their accounting treatment and payment schedules differ. A refundable deposit is not the same economic expense as a fit-out consumed over time.
Analysis may allocate an investment's economic cost over its expected useful life, but the cash-flow forecast must retain the actual payment date. Do not count both the full renovation expense and its depreciation as two expenses of the same nature. Have the reconciliation checked by the professional preparing your forecasts.
Budget for the period before opening as well. An extra month of works may delay revenue without cancelling committed payments. The project must remain viable if the timetable does not proceed as hoped.
Commit to a viable project, not just an attractive location
Before signing, gather documented costs, permitted uses, the renovation schedule, and sales assumptions. Lease duration, rent reviews, and exit or transfer conditions require an appropriate contractual review. A viewing alone cannot answer these questions.
The business plan generator and the break-even point help test the complete business model. Local SEO can subsequently support shop visibility without automatically offsetting excessive occupancy costs. The right premises are those whose documented potential and actual constraints match the business's resources.
