When should you hire a manager for your esoteric shop?

An additional shop assistant and a shop manager have different roles. When does delegating day-to-day operations become cost-effective for the owner?

Your first employee eases the workload. A shop manager, however, changes how the whole business operates: they take responsibility for part of the daily running of the shop so the owner can spend more time on purchasing, e-commerce, the brand or a second location.

Hire when the owner becomes the main bottleneck

The clearest sign is when every decision has to go through the founder: opening and closing, discounts, rotas, disputes, the till, urgent orders, supplier deliveries and staff absences. As long as nobody can make decisions without them, the business grows more slowly than the workload.

The role must create identifiable value

A manager costs more than an entry-level shop assistant and requires training time. They therefore need to create value by running the shop without constant supervision, improving sales, organising the team and reducing mistakes.

The total cost to the employer is not limited to gross salary. Urssaf provides a calculator that includes social security contributions; you should also add business-specific expenses such as equipment, training and recruitment.

The right calculation: compare the manager's full annual cost with the value of the owner's freed-up time and the expected operational gains.

Clearly define delegated responsibilities

Giving someone the title of 'manager' without real authority causes frustration. Write down what they can decide independently: scheduling, orders below a specified amount, goodwill gestures, receiving deliveries, stocktaking, merchandising or handling disputes.

Strategic matters — selecting major suppliers, pricing, budgets, recruitment or communications — can remain with the owner, depending on the size of the business.

Document procedures before recruiting

A manager should not have to learn solely by watching the founder. Write down till procedures, closing routines, returns, restocking, security and ordering processes. This reduces dependence on verbal explanations.

A manager becomes essential before expanding to multiple sites

A business planning a second shop should already know how to operate the first without the owner's constant presence. Hiring a manager is therefore often a step towards multi-site expansion.
